Email server support

Using an email server, such as Ms Exchange or VPOP3 , has many advantages: It allows you to have as many email addresses to the left of your domain name (e.g. mycompany.co.uk) as you wish. It can help with marketing by sending targeted mailshots to existing and prospective customers. It allows greater control over spam issues. Inter-office communication is also enhanced if all users have an email address of their own.

Incorrect Email Addresses

A common email addressing system for a business is: an individuals first name, a dot, then their surname and end in your company domain name - e.g. firstname.surname@mycompany.co.uk. However a common problem is that the business email address is different to the domain name where the web page resides. - e.g. www.mycompany.co.uk is the web site, but the email address is wrong-email@gmail.com This can be very confusing to existing and potential customers alike.

 

It is good practice to ensure that the email and website domains are the same.

Stopping unwanted spam emails

Spam is the name given to badly targeted unwanted emails and unfortunately it is rife. A good ISP should filter out the obvious spam email before it gets to you, if it doesnt, change your ISP! Less obvious spam can be detected by using an email server; this gives far more control over what email you do and dont want to receive.

As the use of email has grown over time to become an effective business communication tool, it is natural that messages will need to be stored for later use. However, this means that a users mailbox will need to be infinite in size.

 

The best method of holding emails indefinitely is to archive the data in the correct manner by splitting the current email file into several seperate archive email files; Keeping every email that your business has sent or received in one file causes technical issues often resulting in data corruption.
